Information on Personal Data Processing

By means of this document, we, as the controller of personal data – the company ŠKODA AUTO a.s., tř. Václava Klementa 869, Mladá Boleslav II, 293 10, Mladá Boleslav, Identification No.: 00177041, registered in the Commercial Register kept by the Municipal Court in Prague under Section B, File No. 332 (hereinafter referred to as "ŠKODA AUTO") – provide information on the personal data processing and your rights related thereto.

The processing of personal data is carried out as part of the following activity:

Provision of ŠKODA Digital Connectivity Services

Purpose of the processing:

Provision of ŠKODA Digital Connectivity Services

Description of the purpose of processing:

In case of the provision of ŠKODA Digital Connectivity Services ("Services"), we will use your personal data stored in the system ŠKODA ID for the purposes of your registration in ŠKODA Services environment, activation and usage of the services ordered via available environment (e.g. mobile application, web portal). The range of provided Services and available environments that you can use depends on the type of vehicle, contracted equipment in the vehicle, infotainment system and the country concerned.

The processing of your personal data may include, for instance, the usage of VIN number of your vehicle and data acquired via GPS, such as the current location of the vehicle, and its potential transfer to a service provider. In order to allow you to use Services, we shall use your personal data to create a user account. Moreover, we may require additional personal data related to the relevant contracted Services and available environment you ordered.

Below you can find a detailed explanation of data processing in connection with the individual Services.

I. Smartlink

Smartlink enables you to access to a wide range of services or features descripted below. You can easily verify the vehicle status and get up-to-date information including current driving data, inclusive statistics (both in retrospect and in real time), journey log or trip planning. In order to use the service you must be equipped with Smarlink or Smarlink+ system. For more information please refer to owner's manual or ask your ŠKODA Partner.

Vehicle Status

Using the "Vehicle Status" service, you can check the condition of your vehicle concerning mileage, fuel range and maintenance interval. The service enables only to read and display the current information about the vehicle condition.

Vehicle Health Report

The "Vehicle Health Report" informs you about the current condition of the vehicle. You can visualise current vehicle alerts and/or any service needs and administer them (e.g. by printing or archiving). Once your mobile device is connected to the vehicle, it transmits the current condition data and displays it.

Trip Statistics & Logbook (if available)

The "Trip Statistics & Logbook" service allow you to track all your trips, with simple switching between business and private travel inclusive all available details and route information. Logbook can be exported.

Service Partner

Through "Service Partner" you can find and choose your preferred ŠKODA service partner in an easier way.

II. MyŠKODA services

Your personal data is processed after registration and activation of all functions of the MyŠKODA application including the support and development thereof.

Manuals

If you are looking for operating instructions for your vehicle, if you don't know how to handle various functions or if you just want to learn what your car can do, the Manuals will be helpful source of information.

Manual Appointment

To use this service you need to choose Preferred Service Partner. Thanks Manual Appointment you can then create an email with all necessary information to your Preferred Service Partner. Draft of such email is displayed in your email client and can be customized prior you send it to the the Preferred Service Partner. Mobile Application itself is not substitution for email client. It is probable you will need to log into email client to send the email from your email account. Alternatively to email templates, for some countries you are forwarded to webpage offering you a template to help you to schedule the ŠKODA Partner visit.

III. Other

Trip Planner

This feature uses your current location to make your trip planning via Mobile Application easier. It allows to search and display the nearby points of interest. The Trip planner may ask you to access your calander in order to show your daily schedule.

Legal basis of the processing:

We have to carry out the processing to be able to enter into the contract on provision of ŠKODA Digital Connectivity Services with you, or to perform the contract you entered in. The provision of your personal data is a contractual requirement, and if you fail to provide them, we might not be able to conclude a contract with you, or it might not be possible for us to perform the contract already concluded. Without the processing of your personal data, as describer hereinabove, we would not be able to provide you with Services.

Categories of the personal data we process:

Identification data, contact data, localisation data, trading history, technical information on the product, and.

Processing and archiving period:

6 months after the cancellation of the user account.

Categories of data processors or recipients to whom we may provide the personal data:

Volkswagen Group companies, Providers of Services, Distribution Network (e.g. Importers, Dealers, Service partners).

Upon request, your personal data may be provided to public authorities, in particular to courts, the police and other law enforcement agencies to the necessary extent and within the boundaries of law.

Source of the personal data:

Directly from you and from the vehicle, via which you use Services and which thus communicates with ŠKODA AUTO data servers.

Transfers of personal data to third countries or supranational organisations:

As part of the above-mentioned processing, your personal data will not be transferred to any third country.

Automated decision-making based on the personal data:

During this personal data processing, automated decision-making based on the personal data does not occur.

Purpose of the processing:

Provision of Car Feedback feature in MyŠKODA application

Description of the purpose of processing:

In case of the provision of Car Feedback feature in MyŠKODA aplication ("Car Feedback"), we will use your personal data stored in the system ŠKODA ID for the purposes of feedback analysis, feedback processing and complaint's processing. The goal is a continual product improvement and better user experience. Each feedback contains following data: selected emoticon, your email adress, date of submission, market, car model and year, VIN (facultative field), category, your comment (facultative field), sent attachments (facultative field). If your feedback is negative or neutral and you want to be contacted by ŠKODA AUTO, your name and surname are sent to the CRM system as well as all data previously mentioned. Car Feedback does not substitute the standard claim procedure with the dealer or authorized repair-shop.

Below you can find a detailed explanation of data processing in connection with the Car Feedback.

I. Car Feedback

Car Feedback enables you to submit a feedback regarding your car directly to ŠKODA AUTO. You can submit positive, neutral or negative feedback. The manner of data processing is dependent on a feedback type.

Positive feedback

Positive feedbacks, i.e. feedbacks with green emoticon, are always sent to the Car Feedback database and in stipulated cases to the CRM system, e.g. in case that a positive feedback is a hidden complaint.

Neutral feedback

Neutral feedbacks, i.e. feedbacks with yellow emoticon, are always sent to the Car Feedback database and in stipulated cases to the CRM system. If a customer requires a respond from ŠKODA AUTO, the feedback is processed by the Customer's care department or Infoline.

Negative feedback

Negative feedbacks, i.e. feedbacks with red emoticon, are always sent to the Car Feedback database and in stipulated cases to the CRM system. If a customer requires a respond from ŠKODA AUTO, the feedback is processed by the Customer's care department or Infoline.

Customer is not entitled to upload attachments which are protected by copyright. ŠKODA AUTO does not take over the responsibility for any kind of copyright breach in respect of submitting such kind of attachment by the customer. Data is stored in ŠKODA AUTO data server.

Processing and archiving period:

5 years from the date of feedback in case of cars after the warranty period. Feedbacks on new cars is being archived for 10 years, max. 12 years, however always until the end of the warranty period.

In well-founded cases the personal data can also be the subject of the processing for the purposes of legal matters resolution, including the performance of obligations towards the public administration bodies and monitoring and ongoing evaluation of legal risks.
